We partnered with a local senior living community to transform an overcrowded storage room into a well-organized, efficient space that better supported both residents and staff.
The room was not short of shelving. It was short of a system. Cardboard boxes were stacked on the floor in the middle of the room, some still taped, some opened and left. Folded blankets and towels sat on top of the boxes rather than on a shelf. Mesh bags of decorations were heaped on a chair in the corner, a lamp shade balanced on a stack, and the wire rack by the door held whatever had been put down last. Every time someone needed a tablecloth or a box of cups, they had to move three other things first.
How to organize a commercial storage room, step by step
The four steps are the same ones we use in a home. In a business the difference is that several people share the space, so the system has to be obvious to someone who did not build it.
Pull — Every box came out and was opened. In a shared room nobody knows what is in a taped box, so nobody throws it away.
Purge — Empty boxes, broken decorations and duplicates went. Anything that belonged to another department went back to that department.
Plan — We zoned the room by how staff use it: everyday supplies on the chrome rack nearest the door, event and party supplies on a rolling cart, marketing and tour materials on the black shelving, and seasonal linens bagged and low.
Place — Cups and lids in clear bins at eye level, snacks in labeled trays, brochures standing in acrylic holders so the front of every stack is visible. The floor is empty, which is the point — a storage room you can walk into is one that stays organized.
After: what changed in this storage room
The result was a streamlined storage area that saved staff valuable time, maximized available space, and created an organized system that was easy to maintain — allowing the team to focus more on providing exceptional care to their residents.
There is now a clear path from the door to the back wall. The tour folders have their own labeled shelf, the snacks for visitors sit in labeled trays where the front desk can grab them, and paper cups are stacked in clear bins rather than loose. A vacuum stands in the corner where the boxes used to be. Nothing lives on the floor.
